Exhibitor Terms and Conditions
1. Introduction and definitions
1.1 The ADI 8 March 2025 Masterclass is organised and managed by The Association of Dental Implantology Limited, a company registered in England and Wales with registration number 2260991 and registered office at c/o TC Group, The Granary, Hones Yard, 1 Waverley Lane, Farnham, Surrey, England, GU9 8BB, and a charity registered in England and Wales and having charity number 800238
1.2 References to “the Organiser” or “us” mean The Association of Dental Implantology Limited and references to “we” and “our” shall be construed accordingly.
1.3 References to “the Company” or “you” means the company, body or organisation that has applied for or has been allocated a stand at the ADI 8 March 2025 Masterclass and any employee or agent of such a company, body or person, and references to “your” shall be construed accordingly.
1.4 “Premises” means the venue for the ADI Masterclass on 8 March 2025.
2. Application and payment for an ADI 8 March 2025 Masterclass exhibition stand
2.1 The application to exhibit at the ADI Masterclass on 8 March 2025 must be made via the ADI website. The fee is £2,500 plus VAT. Should you wish to pay via BACS, please email info@adi.org.uk. Payment will need be received within two weeks of the invoice date. If the remainder is not paid in a timely manner, the stand application will be cancelled (but the deposit will not be refunded). The Organiser reserves the right to refuse any application without stating any reason.
2.2 On approval of an application, and timely receipt of the full payment, the Organiser will email a confirmation to the Company. The Company should not consider a stand to be booked until this confirmation has been received.
2.3 The exhibition stand application, the subsequent confirmation from the Organiser and the terms and conditions constitute the legally binding agreement between the Company and the Organiser.
2.4 Exhibition stands for the ADI 8 March 2025 Masterclass are only available to ADI Company Members.
3. Cancellation of stand at ADI 8 March 2025 Masterclass
3.1 If, after the allocation of the stand to an Exhibitor, such Exhibitor shall desire to cancel the stand allocated, the Organiser will endeavour to re-sell the stand. If the stand is re-sold the Company does not remain liable to pay for the stand (and the Organiser will refund any payment previously made for the stand), but if the Organiser is unable to re-sell the stand the Company shall remain liable to pay the full charge for the stand allocated.
4. Postponement or abandonment
4.1 In the event of the ADI 8 March 2025 Masterclass being postponed or abandoned for any reason, the Organiser shall not be under any liability whatsoever in respect of expenditure, or liability of loss incurred by the Company.
4.2 In the instance that the Organiser rearranges the ADI 8 March 2025 Masterclass that had been postponed or abandoned, the Organiser will offer to transfer the exhibition stand booking to the rearranged event at no additional cost to the Company.
4.3 In the instance that the Organiser does not rearrange the ADI 8 March 2025 Masterclass that had been postponed or abandoned, the Organiser will offer to refund any sums paid in advance by the Company.
4.4 The Organiser shall not be liable for any loss which the Company may sustain by reason of the local, or other competent Authority intervening and preventing or restricting the use of any portion of the ADI 8 March 2025 Masterclass premises or any part thereof in any manner.
4.5 The Organiser shall not be liable for any loss which the Company may sustain by reasons defined as force majeure, or other circumstances leading to the cancellation of the 8 March 2025 Masterclass which are beyond the Organiser’s control.
5. Promotion of the ADI 8 March 2025 Masterclass
5.1 The Company will use its best endeavours to promote the ADI 8 March 2025 Masterclass to its customers who may be interested in attending the event.
5.2 The Company’s customers who wish to attend the ADI 8 March 2025 Masterclass should book via the ADI website.
6. Set-up and break-down
6.1 The Company will set up and break down their stand in accordance with the timings included in the instructions provided by the Organiser in advance of the 8 March 2025 Masterclass.
7. Security and Insurance
7.1 Each Company is responsible for the security of their own goods and for their own insurance cover. In no circumstances will the Landlord of the Premises or the Organiser accept responsibility or be liable for any loss whatsoever.
8. Health and Safety
8.1 All exhibitors must comply with the Health and Safety at Work Act 1974, and any regulations and applicable standards made thereunder, and any prevailing local regulation or rule affecting the ADI 8 March 2025 Masterclass.
9. Indemnity
9.1 The Company shall keep the Organiser indemnified in respect of (a) any loss or damage to any property of the Organiser, (b) all claims and demands of third parties (including servants and agents, other exhibitors and their servants or agents, and members of the public) in respect of personal injuries or loss or damage to property arising out of or in consequence of your occupation of a stand. The Company shall make good any damage done by it, its servants or agents to the Premises or any furniture or fixtures therein, and damage caused by fire upon your stand site.
10. Discretionary power of Organiser
10.1 The Organiser reserves the right to alter, add or amend any of the conditions in the interest of the ADI 8 March 2025 Masterclass. Should any questions arise, whether provided for in these terms and conditions or not, the decision of the Organiser shall be final.
11. Data protection
11.1 We will only use the information you provide for the purpose of organising the ADI 8 March 2025 Masterclass and related purposes including:
- Updating and enhancing our records;
- Analysis to help us manage our business;
- Legal and regulatory compliance.
Our business may be audited or checked by our accountants or the Charity Commission or other regulatory organisations. All such third parties are required to maintain confidentiality in relation to your personal data.
11.2 You have a right of access under Data Protection Act 2018 to the personal data we hold about you. We seek to keep that personal data correct and up to date and for no longer than reasonably necessary. You should let us know if you believe the information we hold about you needs to corrected or updated.
11.3 Delegates at the point of ADI 8 March 2025 Masterclass registration will be asked whether they wish their postal address details to be supplied to companies exhibiting at the ADI 8 March 2025 Masterclass. Note that delegates may decide not to provide consent or to withdraw any such consent previously given, in which case the Organiser will not be able to provide you with their address details following the ADI 8 March 2025 Masterclass.
